Marketing Coordinator

The Marketing & Proposal Coordinator plays a key role in supporting business development by leading the preparation of high-quality proposals and presentations. This position manages the proposal process from start to finish, ensuring compliance with client requirements while delivering clear, compelling, correct, and visually polished submissions. 

In addition to proposal development, this role supports broader marketing efforts, including brand consistency, project documentation, content creation, and enhancing both internal and external communications. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple deadlines in a fast-paced environment. This role requires collaboration with company leadership, project managers, and external partners to enhance visibility and support business growth. 

Proposal & Qualifications Management 

  • Review and interpret RFQs/RFPs to identify requirements. 
  • Manage the full proposal lifecycle, from kickoff through submission.  
  • Ensure all submissions are complete, compliant, and aligned with company branding.  
  • Coordinate with internal teams to gather project information, resumes, and technical content.  
  • Write, edit, and proofread proposals for clarity, accuracy, and consistency.  
  • Lead the development of qualification packages, proposals, and interview presentations.  
  • Maintain and update proposal materials, templates, and content libraries.  

Content Creation & Digital Marketing 

  • Create and manage content for the company website and digital platforms, ensuring brand consistency.  
  • Oversee the creation of marketing materials, presentations, and advertisements.  
  • Manage social media planning, posting, and performance tracking to maintain a consistent online presence.  
  • Prepare project updates, client testimonials, and company newsletter to support business development efforts. 

Event Planning & Public Relations 

  • Assist in planning and coordinating industry conferences, job fairs, and networking events.  
  • Support employee events, including team-building activities and company events.  
  • Coordinate subcontractor lunches, ribbon cuttings, and groundbreaking events, including logistics, materials, and on-site support.  

Internal Communication Support 

  • Support company-wide communication initiatives to keep employees informed and engaged. 
  • Assist with employee recognition programs, milestone announcements, and internal celebrations. 
  • Develop internal newsletters, company updates, and other employee communications. 
  • Reinforce company values, culture, and key initiatives through clear and consistent internal communications. 

Other Duties 

  • Perform additional responsibilities as needed to support company growth and operations.  
  • Demonstrate flexibility and a willingness to contribute beyond core responsibilities.  

Qualifications & Requirements 

  • Bachelor’s degree in Marketing, Communications, Business, or a related field preferred.  
  • Proficiency in tools such as Adobe Creative Suite, Microsoft Office, and Canva. 
  • Excellent writing and editing skills. 
  • 2+ years of demonstrated professional experience. 
  • Experience managing social media with a track record of increasing engagement.  
  • Experience in event planning, public relations, or sponsorships is a plus.  

Physical Requirements 

  • Ability to sit or stand for extended periods.  
  • Occasional job site visits, including walking on uneven terrain.  
  • Ability to lift up to 25 pounds as needed.  

Work Environment 

  • Office-based with occasional travel as required.
